Manage digital assets FAQ

The following sections provide answers to common questions about managing digital assets in Content Hub.

Does using Share via email always create a ZIP package, even when a single asset is selected?

Yes. When you send an email, a download order is created, and a public link is created on top of the download order. As a result, even for a single asset, a ZIP package is created.

Is information tracked in the links when using Share via email and, if yes, which information is tracked? Are these the same as with public links?

Email links are public links created on top of download orders. The same rules apply to email links and public links. For more information, see Public links caching


Is there an inline preview for GIFs?

Currently, there is no inline preview for animated GIFs This limitation does not apply to other media types.


Are different roles available for content collections?

There are four user roles that define access to content collections:

  • Reader
  • Contributor
  • Manager
  • Developer

By default, each content collection role has different permissions. The current roles are similar to the access roles, with the addition of the Developer role. The Developer role has the same authoring rights as a Reader but can also create API keys.

Can I extend the default roles?

Yes. Role templates are not system-owned so it is possible to extend the permissions provided by default, including API key permissions.


How do I approve a content item? Can I extend the displayed workflow?

You can approve a content item by using the state flow operations defined by default. Depending on your requirements, you can also add custom state flows and disable the default ones.

Why do I see a 404 error when I try to access an asset through a public link?

When an asset is restricted and you try to access it through public links, you always receive a 404 error. That is because there are rights that apply to that asset and restrict the asset usage.

I cannot see my locked items. Where can I find them?

To find your locked assets, on the menu bar, click Manage and then, on the Manage page, click Locked assets. All your locked assets are there. To know more about unlocking assets, see Unlock.


I can upload files in a number of ways, two of which involve Excel spreadsheets. What is the difference between these methods?

When you choose which function to use, you must remember the following:

  • The Import/export function lets you export or import packages containing structural settings and changes to an environment.
  • The Upload files function lets you upload assets to Sitecore Digital Asset Management (DAM), so that you can start working with them.
  • The Excel import function lets you import data from Excel worksheets.
